Annual Meeting Material Distribution
Attendance
SSR Annual Meeting Attendance
Purpose:
This policy defines who may register for and attend the Society’s Annual Meeting.
Policy:
Attendance at the Annual Meeting will be limited to:
- SSR Members of all categories, including Members in Training, whose current year’s dues are paid.
- Resident Trainee Guests, who must be invited/sponsored by an attending SSR Member. (Trainees without access to an SSR Member would be asked to contact the SSR office to be assigned to a sponsor.)
- Guests approved by the Executive Committee.
Any variation from this policy must be approved by the SSR Executive Committee.

Presentations
Annual Meeting Presentations
Purpose:
This policy defines the requirements for abstract acceptance and presentation at the Society Annual Meeting.
Policy:
Final acceptance of an abstract for presentation at the Annual Meeting cannot be issued until the presenter submits a completed Financial Disclosure Form and Conflict of Interest Form and all accounts receivable are current.
If a presenter is unavailable on the assigned date, the Program Committee may select an alternate abstract for the final program.
Presentations at the Annual Meeting will be limited to Members and Members in Training of the Society. Members in Training may only submit and present their work under the direct supervision of a Member who serves as a co-author and who must be present in the room at the meeting during the presentation.
Sanctions for violation of this guideline may include (but not limited to):
- Presentation will be immediately removed from the podium presentation schedule
- Disqualification from consideration for awards and ineligibility for submission of abstracts at future meetings.
- If the presenter is not an MIT member, they will be asked to leave the conference.
Non-members are not eligible to present abstracts at the Society annual meeting. Any variations from this policy must be approved by the SSR Program Committee.

Promotional Material
Annual Meeting Promotional Material
Purpose:
This policy regulates the display and distribution of promotional material at the Society Annual Meeting.
Policy:
Marketing material including, but not limited to, pins, pens, CDs, etc., will not be accepted for display and distribution in the areas in which CME activities occur.
A bulletin board will be made available at the Annual Meeting, to be located in a common area, for posting of job opportunities, business cards and small brochures.
Any exception to this policy must be approved by the Executive Committee.

Publication of Presented Materials
Publication of Material Presented at the SSR Annual Meeting
Purpose:
This policy defines the Society’s guidelines for publication of material presented at the Annual Meeting.
Policy:
The Society does not place any restriction on the publication of material presented at the SSR Annual Meeting. Papers presented at the Annual Meeting may be submitted to the
publication of the author’s choice.

Previously Presented Materials
Presentation of Previously Presented Material at the Annual Meeting
Purpose:
This policy defines the Society’s guidelines for the presentation of papers at the SSR Annual Meeting that have been previously presented at other professional meetings.
Policy:
The Program Committee will consider all submitted papers including papers that have been presented at prior meetings. Papers will be selected by the Program Committee on the basis of clinical importance and scientific merit.
Presenters planning to use material presented at the SSR Annual Meeting at other society meetings are advised to review each Society’s policy on previously presented material.

Moderator Guidelines
Moderator Guidelines SSR Annual Meeting
Purpose:
The role of Moderator is key. Time management of each session is a priority to keep sessions, speakers and discussions on-time and on-schedule. This is of great importance to the audience, other speakers and the overall meeting.
In addition to the traditional moderating roles of introducing your session and speakers, moderators are encouraged to follow these guidelines:
- Timeliness is critical and speakers should be reminded to adhere to the schedule. Moderators should inform speakers that half of the program time allocation for each abstract is devoted to discussion. The feedback and discussion is the highlight of the meeting for many members.
- Moderators should familiarize themselves with the timer clock and the slide controls in advance. This may require a chat with the AV support personnel prior to their session. Many speakers rely on a clock to time their presentation, and the moderator’s assistance with podium controls (pointer, slide advance, etc.) will help speakers when they are having difficulties.
- Moderators are expected to engage experienced/expert society members to participate in discussion. They may wish to encourage specific members to ask questions related to a paper in your session if no other spontaneous discussion occurs. Moderators should feel free to pose a question themselves to the speaker or another member in the audience, to augment discussion of a topic or paper.

Invited Guest Compensation
Annual Meeting: Invited Guest Compensation Policy
Purpose:
This policy defines compensation for any invited guests, either speakers or affiliate organization representatives.
Annual Meeting Invited Guest Reimbursement Policy:
Invited Guests who have received approval from the EC will receive:
- Complimentary meeting registration including 1 banquet ticket No other compensation should be provided by the Society.
Any variation from this policy must be approved by the Executive Committee.

Purpose:
This policy regulates the Society’s response to requests for consultations, official comments, scientific reviews, reviews of published or presented material, legal opinions, or any similar matters.
Policy:
The Society does not provide consultations, official comments, scientific reviews, reviews of published or presented material, or legal opinions and does not keep or provide a list of members who do so.
Society members may not use their affiliation as an official or unofficial credential when rendering a medical or legal opinion.

Material Distribution
Mailing Labels
Mailing Label Policy
Purpose:
This policy regulates the use and sale of Society electronic or printed membership lists. Policy:
Requests for electronic distribution of material will be handled in accordance with the Society’s Membership Survey Policy.
Policy:
Society members may request address mailing lists for surveys and scientific and administrative projects in keeping with the objectives and purposes of the Society as specified in the organizational by-laws and the Membership Survey Policy.
Requests for mailing lists by non-society members or commercial entities will be considered on an individual basis by the Executive Committee and will be individually charged. The nominal fee for a single use address mailing list is $750.00 with a letter indicating that it is for “one time use only”. Mailing label lists will include member name and primary address only.
Fees for Society Corporate partners may be waived in accordance with the sponsorship level and the purpose of the request.
Mailing lists will not be provided to placement services or recruiters.

Reimbursement

Business Meals
Business Meals Policy
Purpose:
This policy regulates reimbursement of expenses meal incurred by SSR members engaging in business on behalf of the Society. It applies to all Society travel paid either directly by the Society or reimbursed by the Society.
Policy:
The Executive Committee may authorize the purchase of food for business meetings which extend through or occur during the normal lunch or dinner hour. This expense must be approved in advance by the Executive Committee and must be supported by a receipt, a written record of the Society business conducted, and a list of the participants.
All requests for reimbursement shall be reviewed by the SSR Executive Director to ensure compliance with these guidelines and inclusion of all necessary documentation. All reimbursement requests and supporting documentation will be retained by the Society. The Society Treasurer will make final approval for reimbursement.

CME Announcements
Website CME Announcements
Purpose:
This policy defines posting and cost of announcements of non-SSR continuing education opportunities on the Society webpage.
Policy:
The Society of Skeletal Radiology will maintain a web page for the announcement of continuing education opportunities. The site will be available to members and nonmembers for the posting of continuing medical education meetings, self-assessment modules, or other educational opportunities as deemed appropriate by the Executive Committee.
Announcements will be posted from the time received, until the beginning date of the activity, not to exceed 12 months. All announcements must be approved by the Society Secretary in accordance with the directives of the Executive Committee.
The cost for the announcement of continuing education opportunities is as follows:
- SSR members: $100.00
- Nonmembers: $300.00
Social Media Posts
Teaching Files
Website Teaching Files
Purpose:
This policy governs the posting of teaching material on the Society website.
Policy:
The Chairman of the Electronic Learning Committee will be responsible for determining the suitability of content included on the Society “Web Resources” page by ensuring:
- Each listing has suitable educational value.
- There is no commercial bias or advertising.
The Society Secretary will oversee the website and will represent the Executive Committee in determining the suitability of questionable sites.

SSR Consensus Papers
SSR Whitepapers
Purpose:
This policy defines the guidelines that surround SSR Whitepaper development.
The EC discussed the need for promotion of the SSR White Papers through open access journals.
Approved budget item of $3,000 per published white paper for open access.
